Reminder wording, hour by hour

Webinar Reminder Emails That Get Clicks Instead of Mutes

The day before, the hour before, the fifteen-minute note. What the automatic reminders do, what good reminder wording looks like when you write your own, and how to stay out of the mute column.

Two reminder systems, worth keeping straight

The product already runs one of them: three automatic emails to everyone registered โ€” 24 hours before the start, one hour, and fifteen minutes โ€” sent without you touching anything, with a switch you can flip off. They arrive in the same inbox where the confirmation and the private access link already sit, which is the quiet advantage of reminders being emails rather than another app to open.

The second system is you. A note from a named person, carrying one new piece of substance, does something the automatic three cannot: it changes what the reader knows. The examples below are written for those sends โ€” the ones worth composing by hand alongside the schedule that runs itself. The wrong plan is writing four emails and switching nothing off.

The automatic three, and what each is for

    24 hours before

The day-before nudge, landing while tomorrow is still movable. Its job is the diary: the date, the start time with its zone label, the quiet fact that their own way in is already in their inbox from the confirmation.

    One hour before

The prep window โ€” enough time to close the other tab, find the room, and open the link they were sent. This is the reminder that converts a maybe into a seat.

    15 minutes before

The shortest one and the most-opened. Open the link now; the session starts shortly. There is no copy to write and no excuse left standing.

    The switch

All three go to every registrant automatically, and you can turn them off. The usual reason to silence them is a session that started life months ago; even then, the day-before email does its quietest work on the day it sends.

Notes you might send yourself, in the gaps

Written as a person would mail a colleague โ€” one new fact each, no re-announcing.

The day-before note, from the speaker
Tomorrow, 6pm CET. One thing I'll ask you to do mid-session: pick the quote you sent most recently and keep it in mind while we go through it. Bring it, or bring the memory of it. See you there โ€” and your link to join is in the email that confirmed your place.
    The morning-of line
Tonight, 6pm CET. The chapters are on the page if you want to see the shape before you join; the first block is the one people email me about afterwards. Marta.
The eleven-minute ping, to the team thread
11 minutes. link to your own access is in your confirmation email โ€” open it now and it's one tap.
To the people who registered ages ago
You grabbed a place for this back in January, so here is the useful part: it runs sixty minutes, ends at 7pm CET, and the template we build in the third block is the thing worth staying for.

How not to become the fourth reminder

    • One new fact per send. If the message repeats the date and nothing else, the automatic emails have already said it โ€” yours is noise by comparison.
    • From a person, not a brand address. A reminder signed Marta gets read differently to one from no-reply, whatever it says.
    • Short beats thorough. A reminder is a tap-again-in-your-diary device; four sentences is the ceiling for the ones you write.
    • Never the joining link in a fresh email โ€” their access link is theirs, already sent to them privately. Point at the confirmation sitting in their inbox instead.
    • Say the time with its zone every single time. Reminder arithmetic is where forgotten sessions go to hide.

    What reminders are actually worth

The honest reason to care about this page is no-shows. Between a list of names and the faces in the room, most of the gap is made or lost in the last twenty-four hours, and the reminder schedule is the cheapest lever available: it needs no new audience, no clever copy and no second tool. Registered people already said they wanted the hour; reminders are the difference between meaning it and remembering it.

Afterwards the list keeps the account โ€” registered, attended, waitlisted, cancelled, no-show, marked as you saw it, exportable as CSV or PDF. If attendance was thin, that pattern shapes the next session's invitation and which personal notes you write. Wording improves; the schedule underneath keeps doing its job.

    How it works

    Planning the last twenty-four hours

Confirm the automatic three are on

Open the session's settings and check the switches. The 24-hour, one-hour and fifteen-minute emails cover every registrant; turning them off should be a deliberate act for a deliberate reason.

Decide what only you can add

One note from the speaker with a new fact โ€” something to bring, the block worth staying for. A personal send belongs in the gap the automatic emails leave, not stacked on top of them.

    Keep the internal thread honest

For colleagues, the day-before line in the team channel does more than any email. The eleven-minute ping in the thread they actually read is the shortest, best-opened message of the day.

    Read the aftermath

After the session, compare the statuses on the attendee list against who you saw. The pattern tells you which reminder โ€” yours or the automatic one โ€” earned its place for next time.

    Questions

Common questions about webinar reminder email examples

Do the reminder emails go out automatically?

Yes โ€” at 24 hours, one hour and fifteen minutes before the start, to everyone registered, with nothing for you to schedule. The switches to turn them off are yours. The examples on this page are the sends you write yourself, in the gaps between them.

Can I remind people over WhatsApp instead?

Not through the product. WhatsApp in the webinar flow notifies the host when someone registers; reminders to attendees go by email. Pasting the page link into a chat you belong to is always possible as yourself, but the schedule itself is email-only.

Do the reminders include the joining link again?

Each person's access link is private and arrived in their confirmation email, so reminders point them back to it rather than broadcasting it fresh. The calendar file and Google Calendar link live in that same confirmation too โ€” the reminders are prompts, not plumbing.

Should I turn any of the three off?

Most hosts should leave them running. The fifteen-minute email is the one that gets clicked into the room; if the tone of the whole set bothers you, the fix is a short personal send that says something new, not a silenced schedule.

    Get Started

The gentlest schedule in the whole product

Three automatic emails and, at most, one honest note from a human. That is all a reminder system needs to be โ€” and it is most of what stands between a full list and a full room.
