For the host with an old recording

How Long Should a Webinar Recording Stay Available?

A replay link left up forever quietly goes stale, and nobody tells your attendees. Here is how to set a window, say it on the page, and use the list you have before the door closes.

The file is yours, and so is the expiry date

Begin with what is actually true here: the recording is made on your presentation platform, stored wherever you put it, and served by whatever sharing rules you set on that file. My Joyfullday holds the link you paste, not the video. That means nothing on our side expires automatically, and nothing on our side can stop a link being forwarded.

So the length a replay stays available is a decision you make twice โ€” once about the file, once about the page. The file may be moved, overwritten or made private without warning to anyone holding the address. A link that stops working silently, on a page people still visit, is worse than a replay you retired deliberately.

What decides the length of the window

Four honest reasons to close a replay, and what each one implies.

    The content ages

Pricing, screenshots of your own product, numbers quoted in the session. When a slide is wrong, the recording is wrong; a short window keeps the shelf life honest.

    Someone in it appeared briefly

Names, faces, a question from a colleague. If consent was for the room rather than for a permanent file, the window should be finite and stated.

It competes with the next date

An open replay forever gives people a reason to skip the live session. Closing the old recording, or shortening it to two weeks, protects attendance at the new one.

    It carries client work

Then it is not a replay at all โ€” it is a restricted file. Keep it off the visible page entirely and send the address only to a segment you chose.

What to write on the page

    • Say plainly whether there is a recording at all. Hosts promising one out of politeness create a much angrier inbox than hosts who say no.
    • Give the window as a date rather than a duration: available until 30 June reads differently from available for ninety days.
    • Name what replaces it when it closes โ€” the slides, the workbook, the next session.
    • If the replay is restricted, say who receives it, so a visitor is not refreshing a page waiting for a link that is never going to appear.

Use the list before the window closes

The reason to set a window is not scarcity theatre; it is that a closing date gives you a legitimate reason to write to the list once more. A message to the registered segment three days before a replay goes down โ€” here is what you missed, here is the date again โ€” does the work an open-ended link never manages, because nothing was ever at stake.

That message goes out from the dashboard to the segment you pick, written by you. Nothing schedules it for you, and there is no reminder sent automatically after the session, so put it in your own calendar for the morning you decide to close the file. And when you do, remove the link from the page rather than leaving a broken address where people keep clicking it.

A sensible default, if you want one

Hosts running regular sessions tend to land on something like this: the replay goes to the people who registered, it stays available for two to four weeks, the window is stated on the page, and it closes with one warning message to the list. Long enough for someone ill on the night or travelling the following week; short enough that the next date still sounds worth attending.

If your audience pays attention to a newsletter or attends regularly, you can leave a shorter clip or a summary up permanently and keep the full session finite. The point is to decide in advance, write it on the page, and follow what you promised.

    How it works

Setting and closing a replay window

Decide the length before you publish the invitation

Weeks, not moods. Write the closing date down now so the page can state it up front rather than in an apology later.

Paste the replay link with the window beside it

The page's materials fields take your link; the description carries the sentence about availability so a visitor reads both together.

Send one message before the door closes

A few days out, broadcast to the registered segment. Written by you, sent from the dashboard, addressed to the names that matter.

Withdraw the link and update the page

Restrict the file, delete the link from the page, and leave the next session's page address where the replay was.

    Questions

    Common questions about webinar recording

Do you host the recording of my webinar?

No. The session is recorded on the platform you presented on, and the file lives wherever you stored it. The page carries the link you paste, which is why nothing here expires or restricts it automatically.

Can I make the replay expire on the page?

Not from our side. Since the link is yours, the expiry comes from what you do to the file and from you removing the link from the page. Set a calendar reminder for the day you intend to close it.

Is two weeks too short for a replay window?

For most working audiences it is right. It catches the person who was ill, the one who travelled, and the one who meant to watch and forgot. Longer windows mostly serve people who were never going to watch.

Should I tell people there is a recording before they register?

If there is one, yes โ€” the replay is the second reason people register and the first thing they ask afterwards. Say what is recorded, who receives it, and for how long, in plain words on the page.

    Can attendees download the recording?

That depends on the sharing settings on your file, not on anything the page does. If you allow downloads, say so next to the link; if you do not, expect the request anyway and answer it once, in the follow-up.

    Get Started

Decide the length, write it on the page, keep to it

A stated window with one closing message to the list serves people better than a link that quietly rots. The recording is yours; the honesty is what makes it useful.
