For whoever is presenting

A Webinar Host Checklist for the Hour Before You Go Live

Six checks run in this order: the page is published, your join link opens, the seats are capped, reminders are switched on, the registrant list is in front of you, and the after-session links are ready to send.

Why the last hour wants a list, not confidence

Most sessions that go wrong do not go wrong in the content. Someone prepared the slides properly. They go wrong because the page was still a draft when the invitations went out, or because the meeting link in the field was the one from last month, or because the reminder switch was off and half the room assumed the evening had been quietly called off. None of those are hard to fix, and all of them are invisible until you need them.

An hour is a generous window, and it is also the point at which you stop editing content anyway. The checks below are ordered by what catches the most people out, which is not the same as what feels most urgent.

    The six checks

Run them in this order. Each one is quicker to fix before people are waiting than after.

The page is published, not drafted

A draft is not visible to guests, so the shareable address you put on your slide, in your post and in your email signature needs to open the real page in a window you have not used before. Registration has to be live on that page, because that is where the list comes from.

Your join link opens from the field

You paste your own meeting address into the session details โ€” Zoom, Google Meet, Teams, YouTube, anything. It is not a connection, so it does not update itself: open it, confirm it lands in the right room, and make sure you have not pasted a recording link or a calendar invite instead.

Seats are capped to your room

Cap sign-ups to the size of your room rather than leaving it open. If the number was set for a smaller room than you booked, raise it now; if the room is already full, the page says so and people can join the waitlist if you turned that on.

    Reminders are switched on

Three emails go out on their own: 24 hours before, one hour before, and 15 minutes before the start. The sending is automatic; the switch is yours, so check it is on if you want the nudges. There is no separate WhatsApp reminder to attendees.

The registrant list is open in a second tab

Your dashboard holds everyone who registered with their status against each name, and exports to CSV or PDF. Have it open before you start, not after, because marking who actually came is easier while the room is still in front of you.

The after-session links are ready to send

Replay, slides, resources, a certificate of your own making, a feedback form: you host those files yourself and we pass the links to registered attendees afterwards. Collect the addresses now while the tabs are open, instead of hunting for them on the way out.

Ten minutes out: the compressed version

If you only have a coffee break, do these and skip the rest.

    • Open the public page once, register yourself with a spare email address, and confirm the confirmation email arrives with the access link in it.
    • Read the start time and the zone label out loud, since you are about to say them to a room of people.
    • Check your own camera, microphone and screen share inside the meeting platform, which is your side of the arrangement, not ours.
    • Look at the list length so you know whether you are speaking to a small group or a full room.
    • Put the running order somewhere you can see it while presenting.

What no checklist can check for you

There is one item that never belongs on a pre-session list: testing whether the page tells the truth about the session. If the description promises forty minutes and the running order runs to seventy, the checklist will pass and the room will still be unhappy at minute fifty.

So the last stop is a ten-second read of your own page as a stranger. Does it say when it starts, in which zone, how long it runs, and what happens at the end. If those four lines hold together, the session has a fair chance regardless of what the rest of the evening does.

    How it works

How the day of the session works on My Joyfullday

Publish the page and read it cold

Open the live address in a fresh window. A draft is private to you, so the checks only count once the page is published.

Paste your meeting link, then open it

Whatever platform you present on, its address goes in your session details and reaches each registrant privately rather than being printed on the public page.

    Set seats, leave reminders on

Cap the room to the size you planned, then confirm the 24-hour, one-hour and 15-minute emails are switched on.

Keep the list open, mark attendance after

Statuses sit on the dashboard and export as CSV or PDF; who attended is yours to mark once the session is done.

    Questions

Common questions about webinar host checklist

Can I test the registrant access link myself?

Yes. Register with a second email address a day or two before, then open the confirmation email and follow its access link. That is the only honest way to see what your attendees see, and it catches a wrong meeting address early.

My meeting link changed an hour before the session. What now?

Update the field on your page and send the corrected address to the registrant list yourself, in the same words to everyone. The access link each person received pointed at the address pasted when they registered, so a quiet change will not reach them on its own.

Do the reminders go to people on the waitlist?

Reminders go to everyone registered for the session. Waitlisted people are told that a spot opening means an email, so if you promote them before the start they join the registered group and the reminder schedule covers them from that point.

Can I switch reminders off after the session has started?

The switches control the schedule before it runs, not after you are live. There is no reason to change them mid-session; anything you need to say once people are in the room is better said out loud at the start.

    Get Started

    Check it once, then present

Build the page, paste your own join link, cap the room and leave the reminders on. The hour before you start then becomes a short list rather than a scramble.
