For the school running the evening

Inviting Students and Parents to an Information Evening Online

A link dropped into the class chat is missed by exactly the families you needed. Give the evening a page: the agenda, the time written for relatives abroad, and a list to check before you open.

The people who need it most read the chat least

An information evening is a strange event: attendance is not optional in practice, and there is no way to require it. Two parents will do anything to be there, and the family who most needed the explanation of how the year group changes never saw the message. A bare link in a group chat reproduces that split exactly, because scrolling is where the notice went.

A page changes the mechanics without changing the tone. Families register with a name and email, the evening is described in the order a parent reads it โ€” what is covered, by whom, how long, and how it fits the year โ€” and each registrant gets their own access link. You finish with a list you can look at before the session opens.

What the page should hold for a school evening

    The running order, with times

Chapters with a duration each: what changes in the coming year, how homework actually works, the questions people always ask, and when it finishes. Parents plan an evening around an end time.

    How it fits the course

Where the session sits in the year and what it prepares people for. That sentence belongs in the description or an agenda chapter, where it is genuinely shown, rather than in a separate block guests never see.

    Who is speaking

A speaker section takes a name, a title, a photo and a short biography. For parents, knowing it is the actual class teacher rather than an administrator changes whether they come.

A cap for a room with a size

Limit the places to what the meeting holds. The page can show how many are left, and says when it is full, which is a fairer answer than admitting everyone and losing audio.

Stating the time for relatives abroad

Grandparents in another country and students on exchange are the usual reason a school evening needs a zone written out. Nothing converts automatically, so spell it yourself.

    • Name the zone in words beside the start time rather than relying on an abbreviation everyone reads as their own.
    • Add the equivalents you have worked out for the two or three places families actually live, inside the description.
    • Say how long the session runs and when it ends, which is what someone deciding about a school night needs.
    • If the evening repeats for a second year group, remember each session needs its own page rather than one link reused.

What arrives in the confirmation email

This is the part that saves a school the follow-up work. When a family registers, the confirmation email goes out on its own carrying three things: their own private access link, a calendar file they can open and add, and a Google Calendar link. Nothing syncs into anyone's calendar from your side, and no account is needed to read the page or register.

Then the reminders do the rest. Emails land at twenty-four hours, one hour and fifteen minutes before the start for everyone registered, unless you switch them off. A parent who registered in a rush three days earlier still gets nudged the morning of the evening, which is the mechanism that turns a sign-up into an attendee.

The list you check before you open

On the day, the dashboard holds every registrant with a status โ€” registered, attended, waitlisted, cancelled, no-show โ€” and exports as CSV or PDF. That export is what you take into the meeting, and what you use to answer the question about how many families came.

Afterwards the same list is where the follow-up goes: a message to a chosen segment with the slides you prepared, the recording if you made one, and the date of the next evening. There is no certificate produced here and no WhatsApp reminder to families; both are things you either link yourself or send through the channels the school already uses.

    How it works

    Publishing the information evening

Write the evening as a parent reads it

What is covered, who is talking, how long it runs, when it ends. Send that paragraph to Jitabi or fill it in the web app, and the page drafts around it.

Lay out the agenda in chapters

Four short segments with durations and one line each on what it covers, so the year-group explanation and the always-asked questions are visibly on the plan.

State the time, and ask one question

The zone in words beside the start, the equivalents in the description, and one custom field such as which year group the family is in so the list sorts itself.

Cap it, publish, check the list

Set the places, publish, then send the page link through the newsletter or the class chat with a line asking families to register rather than reply. Before opening, export the names.

    Questions

Common questions about webinar for students

Do parents need an account to register or attend?

No. They give a name and an email on the page and receive their own access link in the confirmation. There is nothing to install, which is the main practical reason more families complete the step.

Can one parent register the whole household?

Registration is one name and email per person, and the access link belongs to whoever registered. If two adults are coming, both should register; if one is watching with the family, one registration covers the evening.

Can we remind families by text or WhatsApp?

Not through this page. Reminders to registered attendees are emails at twenty-four hours, an hour and fifteen minutes before the start, and you can switch them off. WhatsApp is how the host is told someone registered.

Will the page show the time in each family's own zone?

There is no automatic conversion for visitors. The zone appears as a label beside the start time you chose, which is why the relatives-abroad equivalents belong in the description, written out in words.

What happens when a family cannot make the hour?

They can cancel from the page, and the list marks them accordingly, freeing a place for anyone waiting. Afterwards you can send that segment the recording link you made yourself along with the materials from the evening.
